Types of Participation

If you register as an active participant, that means that you wish to engage in the Scientific Competition. Being an active participant means being a Presenting Author of a scientific paper (Oral or Poster presentation) or a participant in the Debate Session.

Co-authors of a scientific paper can be active participants if they are Presenting authors of a different scientific paper. Otherwise, they can be Passive participants or non-attending.

As you pay the Presenting Author fee, you assume the responsibility for sending an abstract before the deadline (1st of September 2019). For more abstract submission guidelines, check the Student Scientific Session section (hyperlink).

Can I switch to a Passive account?

If before the abstract submission deadline, you wish to switch your account to a Passive one, you can do so by accessing the option from your Extras section in your account. You will have to pay a remaining amount of 10 EUR if you registered during the Early fee period or 15 EUR if you registered during the Regular fee period.

After the deadline, if you do not submit an abstract, your account will automatically become a Passive participant account and you have until the 15th of September 2019 to pay the 15 EUR difference for the Regular Fee of the Passive participation pack or until the 8th of October to pay the 25 EUR difference for the Late Fee Passive participation pack. If you have a Premium Package, you will have to pay the 10 EUR difference for the Passive participation pack. After the deadline, if you do not pay the difference, your account becomes inactive and your fee is non-refundable.

What happens if my abstract is not accepted?

If you submit an abstract which is NOT accepted in the Scientific Competition, You may still attend the Congress as a Passive Participant or ask for a refund. If you wish to become a Passive Participant, you can pay a 15 EUR difference for the Regular Fee of the Passive participation pack until the 8th of October 2019. If you have a Premium Package, you will have to pay the 10 EUR difference for the Passive participation pack.

If not, you should ask for a full refund at treasurer@surgicon.ro until the same deadline. If you neither pay for Passive participation, nor ask for a refund until the 8th of October 2019, your account becomes inactive and your fee is non-refundable.

How do I obtain my certificate of attendance?

All packs include a digital copy of the certificate of attendance. You will receive your certificate only if you meet the participation criteria:

  • must attend all workshops booked to which they have been accepted
  • must attend the Scientific Competition in the Session which they have been accepted to (Posters, Oral Presentations, Debate Sessions)
  • must attend one conference of their choice in the afternoon interval on Friday (key-note lectures do not count as mandatory conferences; participants can attend all other conferences in accordance to the availability of seating)

Certificates of attendance will be available for downloading on your account after the Congress ends.

If you register as a passive participant, that means you can attend all events organised during the Congress without being a Presenting author of a scientific paper or an Active participant in the Debate Session.

If I changed my mind, can I become an Active participant?

You can update your account from Passive and Active, as long as you take the responsibility of submitting an abstract before the Submission Deadline (1st of September 2019). When we announce the list of accepted abstracts, if your abstract was NOT accepted, your account will remain Passive as it was initially. If your abstract is accepted, then there are two options:

  • you can receive a 10 EUR (if you switched your account during the Early fee period) or 15 EUR (if you switched during the Regular Fee period) refund;
  • you can receive an Extra workshop (which regularly costs 15 EUR), if you have not booked 3 workshops already and have a chance of more hands-on experiences!
